You do not have to respond in full immediately. Small business owners are busy, and most customers understand that.
What matters is acknowledging the enquiry and letting the person know they have been heard. Even a quick message saying, “I’ve received this and will get back to you tomorrow” can provide reassurance.
Silence, on the other hand, leaves potential customers wondering whether their message was received—or whether they should contact someone else. If you want their business, be prompt in responding. It matters, it's good old-fashioned manners.
It sounds so basic and obvious, but have you ever tried to secure the services of a tradesperson and felt the pure frustration that 3 or 4 businesses in, you're still not getting a response and have all but given up finding someone to help with the job you needed done urgently? Don't be that person.
2. You do what you said you would do
Turn up when you say you will. Send the quote when you promised. Deliver the work by the agreed date.
These things may sound basic, but they are a big part of building a good reputation.
Every time you follow through on a promise, you show your customer that they can trust you. That trust can lead to repeat business, positive reviews and recommendations to other people.
3. You explain and apologise when plans change
Sometimes delays happen. A job takes longer than expected, technology causes trouble or life simply gets in the way. It happens to all business owners. But own it people, say sorry!
Most reasonable customers will understand—provided you tell them. Silence is the worst thing you can do. Re-establish a plan or a timeline and get the project back on track.
A clear update, an honest explanation and a genuine apology can protect a customer relationship. Leaving someone waiting without any communication is usually far more damaging than the delay itself. You're human, but if you pretend it isn't happening, well.. how would you feel?
